# ERP, ecommerce and finance Kit: Apache projects for small business
October 29, 2026. [Read the companion article](https://jwatte.com/blog/apache-erp-ecommerce-finance-small-business/).
## How to use this kit
Choose one business process before choosing software. All three projects need an IT department or provider; none is an owner installation recommendation. Use invented records for the first demonstration and ask the person responsible for the real records to check the result. Replace every assumption below with a written quote before committing to production.
## OFBiz provider card
**Purpose and fit:** connected orders, stock, manufacturing and accounting for a business that needs a configurable ERP. Example uses: a six person retailer reconciling shop and online stock; a twelve person machine shop tracking parts against orders.
**Smallest setup:** the [release README](https://raw.githubusercontent.com/apache/ofbiz-framework/release24.09/README.adoc) requires JDK 17 and supplies Gradle startup steps. No universal RAM or CPU minimum is published there. One 4 vCPU, 8 GiB server is our evaluation assumption, not a sizing promise. A Java administrator and a person who understands the accounting records must work together.
**Start:** [official downloads](https://ofbiz.apache.org/download.html), release 24.09.07. Keep sample data separate from live records. A demonstration is not a finished shop.
**Managed alternative:** [Shopify Basic](https://www.shopify.com/pricing), $39/month billed monthly, read October 29, 2026, for a narrower online store need. [Odoo Standard](https://www.odoo.com/pricing-plan) is closer to a whole business suite: regular $38.90/user/month billed monthly, or $31.10/user/month paid yearly, confirmed October 29, 2026. Use the regular monthly rate below, excluding the introductory discount. [QuickBooks Online Simple Start](https://quickbooks.intuit.com/pricing/) is a narrower bookkeeping alternative at the regular $38/month, confirmed the same date, excluding its introductory discount.
**Ask your provider:** Who tests tax and ledger postings? Which system remains authoritative during migration? Can we export orders, stock and balances without your custom software? Who patches security releases?
**Backup and update checklist:** preserve the database, application configuration and custom code; encrypt the off site copy; restore an order and its related records together; rehearse an update on a copy before scheduling downtime. Follow the [security notices](https://ofbiz.apache.org/security.html).
**First week:** agree one process on day one; configure invented products and accounts; enter ordinary orders, cancellations and partial refunds; reconcile the results; demonstrate backup and restore; price the remaining implementation before expanding.
## Fineract provider card
**Purpose and fit:** lending, savings and financial account operations. Example uses: a nine person nonprofit loan fund testing repayment schedules; a fifteen person credit union testing reversals and rescheduling. Check the GLBA Safeguards Rule where applicable, or the credit union regulator's safeguarding rules, before storing borrower or member data.
**Smallest setup:** [current documentation](https://fineract.apache.org/docs/current/) gives 16 GB RAM and eight core CPU minimum, Java 25 or later and PostgreSQL 18 or later. Our costing uses one 8 vCPU, 32 GiB server; validate virtual CPU performance against the actual requirement. Financial system implementation and database recovery skills are required.
**Start:** [official releases](https://github.com/apache/fineract/releases), 1.16.1 dated October 26, 2026. The [README](https://raw.githubusercontent.com/apache/fineract/develop/README.md) warns its container images are not production ready. Do not expose demo settings or treat an image launch as implementation.
**Managed alternative:** Mambu is a candidate to quote; it publishes no price on its site (checked October 29, 2026). There is no calculated saving or break even without a comparable quote.
**Ask your provider:** Who reconciles transaction totals? How are failed scheduled jobs recovered? Which controls separate approval from posting? What happens to transactions entered during recovery? What export would another provider receive?
**Backup and update checklist:** save consistent database backups and configuration; protect secrets separately; restore into an isolated environment; reconcile balances and transaction counts; read release notes before upgrading. Version 1.16.1 fixes a close of business issue identified in 1.16.0.
**First week:** agree a synthetic loan product; enter payments and reversals; simulate a late payment; check schedules against independently calculated results; rehearse recovery; get a full implementation quote. Do not import live customer data during this exercise.
## Unomi provider card
**Purpose and fit:** shared customer profiles and events for connected applications. Example uses: an eight person ecommerce brand showing a trade catalog to returning buyers; an eleven staff gym routing inquiries between two locations.
**Smallest setup:** the [manual](https://unomi.apache.org/manual/latest/index.html) gives a single host Docker Compose demonstration with an application and search service. The 3.x platform documents Java 17 and Elasticsearch 9; the moving manual also includes later features, so use release matched instructions. No universal RAM minimum is stated. Our two 4 vCPU, 8 GiB servers are an evaluation assumption, not an Apache minimum or a resilient production cluster.
**Start:** [official download](https://unomi.apache.org/download.html), 3.0.1, July 20, 2026 as printed on that page. A Java/search administrator and website developer must own the integration.
**Managed alternative:** [Twilio Segment CDP](https://segment.com/pricing/) uses custom volume pricing and asks buyers to contact sales. Do not substitute a historical pipeline plan price for a CDP quote.
**Ask your provider:** Which events produce a useful action? How are consent and deletion propagated? What happens to duplicate events? Which system owns the profile identifier? How will we export profiles if we leave?
**Backup and update checklist:** preserve profiles, schemas, rules and configuration; protect event credentials; test a search data restore; check integration behavior after an update; verify deletion in connected systems too.
**First week:** write one event definition; use invented profiles; connect one receiving application; test duplicate delivery and profile deletion; show the resulting daily task to staff; decide whether the existing shop already supplies enough functionality.

## Cost worksheet
Prices are USD before tax, read October 29, 2026. Setup hours: low ___, high ___. Administration hours/month: low ___, high ___. Nodes: low ___, high ___. Stored backup GB including retained versions: low ___, high ___. Alternative plan and billing term: ___. Alternative setup quote: ___.
Use [DigitalOcean](https://www.digitalocean.com/pricing/droplets) at $48/month for each 4 vCPU, 8 GiB server or $252/month for the selected 8 vCPU, 32 GiB tier. Use [Backblaze B2](https://www.backblaze.com/cloud-storage/pricing) at $6.95/TB/month after 10 GB free. Labor is $68.09/hour, the shared BLS employee compensation estimate, not a provider's selling rate. The [wage profile](https://data.bls.gov/oesprofile/?areas=INDUSTRY,STATE,MSA&major_group=150000&measure=01&occupation=151244&year=2025) supplies $47.66/hour and the [compensation series](https://data.bls.gov/timeseries/CMU2020000000000P) supplies the 0.700 divisor.
Setup = hours × rate. Monthly = all servers + backups + admin hours × rate. Self hosted total = setup + 36 × monthly. Alternative total = alternative setup + 36 × alternative monthly. Savings = alternative total minus self hosted total. If monthly self hosting costs less, break even = round up((self setup minus alternative setup) / (alternative monthly minus self monthly)); otherwise it is never unless an initial cost advantage changes the comparison.
Our assumptions use 24 to 60 setup hours, 6 to 16 admin hours/month, 100 to 500 retained GB, and zero chargeable transfer/API usage. OFBiz and Fineract each use one server in both cases; Unomi uses two. User counts do not affect these license costs. Custom development, migration, training, compliance work and incidents are excluded and require separate quotes. Outside IT providers usually bill above this compensation estimate.
| OFBiz operating budget | Low case | High case |

Segment requires a quote. Insert its setup and monthly fees before calculating savings or break even. No amount in this worksheet is a production financial system or customer data integration quote.
### Closer hosted ERP comparison
Our assumption is five paid Odoo users in the low case and ten in the high case, with zero separately charged setup assumed for subscription comparison only. Migration and implementation are excluded on both sides and need quotes.

### Setup time when Claude or ChatGPT does the typing
We keep the OFBiz example's one $48 server and 100 to 500 GB of backups. We apply our IT assistance assumptions to its existing IT labor budget, despite using one host. These paired low and high cases are assumptions, not measured installations; human review is included. [Coding studies](https://metr.org/blog/2025-07-10-early-2025-ai-experienced-os-dev-study/) do not validate deployment savings.
| OFBiz: assumptions and 36 month costs | Low case | High case |

| AI admin share; hours/month | 80%; 4.8 | 100%; 16 |
| Human review hours within AI admin/month | 3 | 8 |
| Manual total, 36 months | $18,092 | $45,156 |
| Claude Max 5x subscription total, 36 months | $16,479 | $46,647 |
| ChatGPT Pro 100 subscription total, 36 months | $16,479 | $46,647 |
| API: Claude Opus 5.5 total, 36 months | $14,651 | $45,209 |
| API: GPT-6 Astra total, 36 months | $14,766 | $45,902 |
| Assumed setup API input / output tokens | 1,000,000 / 100,000 | 5,000,000 / 500,000 |
| Assumed monthly API input / output tokens | 500,000 / 50,000 | 2,000,000 / 200,000 |
| Opus input / short write / read / output rates per million | $4 / $5 / $0.20 / $20 | $4 / $5 / $0.20 / $20 |
| Astra input / short write / read / output rates per million | $10 / $12.50 / $1 / $50 | $10 / $12.50 / $1 / $50 |
With L = $68.09/hour, S/A = manual setup/monthly hours, q/r = AI shares, H = hosting plus backups, and T0/Tm = setup/monthly tools: manual total = S × L + 36 × (H + A × L); AI total = S × q × L + T0 + 36 × (H + A × r × L + Tm). Round totals after calculation.
[Claude](https://claude.com/pricing) and [ChatGPT](https://chatgpt.com/pricing/) each cost $100 for the selected monthly plan: one setup month, then $50/month (50%) for 36 operating months if other work uses the rest. Dedicated use adds $1,800 to each total. Allowances differ; check limits and budget extra usage. High cases save no admin hours; subscriptions exceed manual costs from month 7.
[API billing](https://developers.openai.com/api/docs/pricing) is separate. Token cost = (ordinary input × rate + cache writes × rate + cache reads × rate + output × rate) / 1,000,000. Our cumulative budgets include retries and billed reasoning: low input is 30% ordinary, 10% short writes, 60% reads; high input is uncached. Use standard rates within context limits.
Claude Code or [Codex](https://developers.openai.com/codex/cli) can draft OFBiz database settings and backup scripts. Desktop Commander can install Java, edit OFBiz configuration and read startup logs through authorized server access; we budget its free local server, excluding optional paid Remote. Claude in Chrome can inspect provider settings, Cloudflare DNS and OFBiz order permissions; ChatGPT Work offers a separate cloud browser, not an assumed Chrome extension.
Use a new or staging server, keep secrets out of chat, and approve commands or restrict them in a sandbox. Watch dashboard actions; review changes, reconcile sample orders and test a database restore. Use subscriptions through supported supervised tools and API keys for custom automation; check applicable terms and never share account credentials. We still own backups, updates and access decisions.
Our conclusion stays the same: Shopify remains cheaper for a store alone, and Odoo remains cheaper for the illustrated ERP users; neither comparison pays for implementation.
